Whether you call it GST or VAT, clients and tax offices care about the same idea: the invoice must show who charged tax, at what rate, on what base, and under which registration numbers. This checklist is practical, not a substitute for local advice.
Seller block
- Legal business name and address
- Tax registration number (VAT/GST/ABN/etc. as applicable)
- Contact email for billing questions
Buyer block
- Client legal name and billing address
- Client tax ID when required for B2B
Document block
- Unique invoice number and issue date
- Supply description detailed enough for audit trails
- Net amount, tax rate(s), tax amount(s), gross total
- Currency clearly stated
PDF labeling tips
Use the tax name your client expects (“VAT”, “GST”) instead of a generic “Tax” when you know the jurisdiction. Keep rate and amount on the same visual row so AP does not hunt.
