AI invoice assistant

Available when editing an invoice as a logged-in company user (AI must be enabled by your Super Admin).

  1. Open Invoices → Edit an invoice.
  2. Open the floating assistant and confirm the correct invoice.
  3. Use quick actions or type commands, e.g. “add website design $2000”, “due date next Friday”, “change hours to days” (using your configured unit names).
  4. Review changes on the form, then save the invoice as usual.

Providers: OpenAI or Gemini. Quantity units are loaded dynamically from your company’s unit list in the database.

AI assistant FAQ

What is the AI invoice assistant?

A floating chat on the invoice edit page that understands plain English. Ask it to add a line item, change a price, set the due date, apply a discount, or switch quantity units — changes apply to your invoice form instantly.

Who can use the AI assistant?

Logged-in company users editing an invoice in the admin area. Super Admins configure AI providers and API keys under Settings → AI Settings.

Which AI providers are supported?

OpenAI and Google Gemini. Your Super Admin chooses the default provider, enters API keys, and can monitor usage (local parsing vs API calls), reset counters, and refresh balances.

Do quantity units work with AI commands?

Yes. Units are defined in your company settings and loaded from the database on every invoice. The assistant matches whatever labels you use — for example “change hours to days” — and resolves the correct unit automatically.
